Tips for submitting to our calendar of events

One of the best ways to help your audiences connect with your work is through community calendars, and TAP wants to make sure you’re making the most of ours.

The Arts Partnership’s online event calendar is a go-to resource for more than 6,000 community members each week who are looking to experience everything local art.

Let us help you connect with a wide range of community members. Start submitting events to our calendar — but first, read our tips on post submissions below!

Tips for submitting events to an online calendar

While we try our best to post relevant Partner art events when we see them, organizations and artists are ultimately responsible for submitting their own posts.

We understand how much extra work it is managing event listing in multiple areas, so here are some submission tips to help you create consistent, easy-to-read, relevant event listings.

Use a clear event title

  • Keep it short (under 10 words).
  • Lead with the activity (“Gallery Night Opening Reception” vs. “Come Join Us for…”).

 

Always include date and time

  • Include start and end time (or note “all day”).
  • Add day of week (Thursday, Sept. 12, 6–8 PM).

 

Provide full location details

  • Venue name, street address, city.
  • If online, include platform and access link.

 

Write a concise description

  • 2-3 sentences max. Use your Facebook events content — just copy it on over.
  • Share what’s happening, who it’s for and if it’s free or ticketed.

 

Add key links

  • Ticket page, RSVP form or event website.
  • Hyperlink long URLs.

 

Include a featured image

  • Use a horizontal (landscape) image, at least 1200px wide.
  • Avoid text-heavy posters (they’re hard to read in feeds).

 

Submit early (at least 1 month ahead)

  • Aim to post events at least 30 days before they happen.
  • This gives audiences time to plan and ensures maximum visibility.

 

Plan annual submissions

  • If your organization knows its season or series dates, submit them all at once (or in quarterly batches). This lessens the administrative burden and guarantees year-round coverage.

 

Other tips

  • Note wheelchair access, ASL, sensory-friendly options if available.
  • Preview your post before submitting.
  • Double-check spelling, dates and links.
